New sign-in app at TMO offices


TMO Highways have invested in new technology to assist with visitors and contractors signing into our offices.

Following a helpful suggestion from our staff members about the sign-in process at our traffic management offices in Suffolk and Essex, we have looked into our processes and found that they could be streamlined and improved for when we have visitors and contractors coming in.

We went to market to find an app that best suited our business and were impressed when we came across Sign-In App https://signinapp.com.  Sign-In App specialise in touch screen tablet type interfaces with an app built in that ensures visitors and contractors see all our key visitation documents when they come to TMO.  This new system will inform visitors about vital information such as, asbestos management, emergency evacuation procedures and other key site specific rules.  We hope that this investment will improve safety for people visiting by collecting visitor information and printing a visitor pass once people are logged in.   We are excited to use the system going forward as it will also save paper as part of our ISO14001 paper reduction pledge. In addition to this we feel that the system will add a layer of security in that we will always know who is visiting and when they arrive and leave. The system should also make it easier and quicker for visitors to sign in leaving them more time for that all important second cup of tea!

This is something we have been considering for some time now but were unsure of how we could achieve the desired outcome. After visiting a clients office who had already installed the Sign-In technology it became immediately clear that this was the answer to what we were looking for. The next day I jumped onto a call with Sign-In and they talked me through what they could offer. A week later all the kit had arrived, we had designed the workflow we wanted and the system was running. What I really like about this technology is that it’s fully customisable from the dashboard. We have been able to remove the use of the old fashion sign in books and focus our visitors attention on all the documentation we need them to read and understand in relation to them being at our premises. We now ensure that they have had time to read our visitors responsibilities documents, understand the PPE requirements, explain access areas, show them the planned escape routes and meeting points as well as clearly highlighting any asbestos risks. 

The feedback we have received from our visitors already has been great. The jazzy design seems to draw people into wanting to use it rather than the process just being long winded and monotonous. The fact that we invested in the wireless printer and can print the visitors passes to go in the lanyards finishes the process off nicely. 

The dashboard shows us who is visiting and still signed in at any time and also sends us a reminder at 5pm if someone has forgotten to sign out. This investment is yet another sign that we take safety seriously across all our sites not just in regards to the traffic management we put out across the roads within East Anglia, London and the East Midlands.
